The requested amount may vary depending on the duration of the trip, season, availability, service conditions, and type of reservation.

Payment arrangements will be established between the client and our designated sales staff. To confirm a reservation, an advance payment of between 30% and 50% of the total price will usually be requested, and the remaining balance must be paid before the start of the tour or upon the passenger’s arrival in Cusco, as previously coordinated.

In some cases, depending on the type of service contracted, full payment of 100% may be required in advance.

PAYMENT METHODS

Payments must be made in US dollars. Machu Picchu Andean offers the following payment options:

CREDIT OR DEBIT CARD

The client may make the payment by credit or debit card through a payment link sent by our sales team via email or WhatsApp.

The client must verify that their card is enabled for international purchases and online payments. Card payments may be subject to an additional 5% fee.

WESTERN UNION

For this payment method, our staff will send the details of the authorized person who will collect the money. The client may make the payment from a physical Western Union agency or online.

Transfer fees shall be paid by the client.

BANK TRANSFER

The client may also make the payment by international bank transfer. In this case, the client must cover the corresponding bank fees, both from the sending bank and the receiving bank in Peru.

The estimated arrival time of the money may be approximately 72 hours. Machu Picchu Andean will not be responsible for bank delays or additional costs generated by the transfer.

HOTEL RESERVATIONS

For hotel reservations in Peru, foreign tourists may be exempt from paying taxes, provided they present their original passport with the entry stamp to the country at the time of check-in.

In the case of a shared room, if one of the passengers does not meet the requirements for tax exemption, the entire room may be subject to the corresponding tax payment.

In Peru, Peruvian citizens, foreign nationals domiciled in the country, or residents are subject to the payment of 18% VAT, in accordance with current regulations.

RECONFIRMATIONS

Before reconfirming the availability of a tour, package, or service, Machu Picchu Andean will make the necessary inquiries with our suppliers, operators, and collaborators to verify available spaces.

Once availability has been confirmed, the client may proceed with the corresponding payment. In addition, the client must send the requested information to properly manage the reservation, such as:

Full names.

Passport number or identity document number.

Nationality.

Age.

Gender.

Food preferences.

Relevant medical information.

Important travel-related details.

For some adventure tours, we may also request additional information such as weight, height, or specific physical conditions.

If the client does not send the requested documents or payments on time, Machu Picchu Andean cannot guarantee the availability or prices initially quoted. Prices may vary depending on availability.

IMPORTANT INFORMATION ABOUT DOCUMENTS

For reservations related to Machu Picchu, the Inca Trail, train tickets, hotels, and other special services, passengers will be required to send a clear and legible photo of their passport or identity document.

This information is essential to issue entrance tickets, travel tickets, reservations, and to verify important details such as dates of birth in the case of minors.

Once payment has been received in our accounts, we will proceed to reconfirm the contracted services by email or WhatsApp. Then, the corresponding payments will be made to our suppliers.

CANCELLATIONS AND REFUNDS

Once Machu Picchu Andean reconfirms the services paid by the client, it proceeds to reserve, block, or pay for spaces with suppliers such as hotels, trains, transportation companies, guides, Machu Picchu entrance tickets, Inca Trail permits, and other tourism services.

Therefore, in the event of cancellation, refunds will be subject to the policies of our suppliers and may apply as follows:

Up to 30 days before the start of the tour: refund of 75% of the amount paid.
From 29 to 08 days before the start of the service: refund of 50% of the amount paid.
Within 7 days prior to the start of the service: no refund will be made.

To reconfirm a reservation, payment of 50% of the total price of the tour or service will usually be requested. The balance must be paid before the departure of the tour, without exception or extension.

PAYMENT AGREEMENT WITH CLIENTS

Clients are required to comply with the specific payment dates agreed with Machu Picchu Andean.

If the client does not comply with the payments within the established deadlines, Machu Picchu Andean will not be responsible for fare increases, loss of reservations, operator changes, partial cancellations, or total cancellations of the service.

NON-REFUNDABLE SERVICES

No refunds will be made, regardless of the cancellation time, in the following cases:

Machu Picchu entrance tickets.

Inca Trail entrance permits.

Airline tickets.

Train tickets.

Non-refundable hotel reservations.

Tours already contracted or paid to suppliers.

Transfers already organized.

Special services subject to third-party policies.

In some cases, certain services may allow a date change, depending on availability and the supplier’s policies.

If the minimum number of participants for a shared service is not reached, Machu Picchu Andean reserves the right to modify, reschedule, or cancel the tour. If the company cancels the service, 100% of the amount paid will be refunded, except when administrative expenses or non-recoverable costs have already been committed.

If the passenger decides to cancel or abandon the tour during its operation, no refund will be made, since the services were contracted and organized in advance. In addition, any additional expenses generated by this decision shall be paid by the client.

PRICE CHANGES IN CONTRACTED SERVICES

The prices indicated are subject to variation due to factors such as exchange rate, availability, season, supplier rate changes, or modifications in tourism services.

If the client has already made full payment for the service, Machu Picchu Andean will assume possible subsequent price increases, provided that the reservation has already been confirmed.

If the client has not made any payment, or if the payment is still in transit, Machu Picchu Andean will not be responsible for price increases, loss of spaces, or changes in availability.

If the money does not arrive on time to secure the requested spaces, we will not be responsible for the loss of spaces in hotels, flights, trains, Machu Picchu entrance tickets, Inca Trail permits, or other services. If this occurs, we will do our best to offer an alternative, such as a change of operator, route, tour, or date. If this alternative generates additional costs, these must be paid by the client.

INFORMATION ABOUT RESERVATION STATUS AND OPERATOR CHANGES

Once the trip has been reconfirmed, Machu Picchu Andean will keep the passenger informed by WhatsApp or email about the status of their reservations.

We reserve the right to change accommodations, operators, trains, transportation, guides, routes, or services for others similar to those initially offered, when necessary for reasons of safety, comfort, availability, logistics, or force majeure.

CHANGES TO RESERVATIONS, DATES, OR PARTICIPANTS

In some cases, Machu Picchu Andean may accept changes to dates, participants, or tours, provided that no definitive reservations, blocks, or payments have been made to suppliers.

To request a change, the client must send an email or formal message indicating their request. In many cases, suppliers may charge penalties or administrative fees, which must be paid by the client.

TRAVEL REQUIREMENTS AND PASSENGER RESPONSIBILITY

Passengers are responsible for verifying the necessary requirements for their trip, such as passports, visas, vaccinations, permits for minors, immigration documents, and other requirements demanded by the corresponding authorities.

In the event of total trip cancellation due to lack of documentation, immigration problems, or unmet requirements, no refund will be made.

If the client has independently booked buses, trains, flights, boats, or other transportation services, and Machu Picchu Andean must provide transfers related to those services, the passenger is required to report any schedule changes. We will not be responsible if the client provides incorrect or incomplete information.

The client’s passport must have the minimum validity required to enter the destination country. These regulations may vary, so we recommend checking in advance with the corresponding consulate.

Passengers are required to carry their valid identification documents during the trip. These documents may be requested at hotels, train stations, airports, checkpoints, tourist entrances, or during the operation of the tour. If the passenger does not have their documents, they may lose the contracted services without the right to a refund.

Machu Picchu Andean will not be responsible if clients do not provide clear information about arrival times, flights, trains, buses, or other services, as this may affect the organization of the itinerary. In shared services, established schedules cannot be modified due to individual delays.

COMPANY RESPONSIBILITIES

Machu Picchu Andean reserves the right to change, alter, modify, or cancel the itinerary of any trip for reasons of safety, natural phenomena, social conflicts, political problems, epidemics, government restrictions, roadblocks, weather conditions, or circumstances beyond our organization.

In these cases, there will be no refunds by the company for services affected by external causes or force majeure.

Likewise, Machu Picchu Andean reserves the right to limit the participation of one or more passengers in certain activities when it considers that there is a risk to the safety of the passenger, the group, or the normal operation of the tour.

For example:

We will not be able to take a sick passenger on a tour that represents a risk to their health or to the safety of the group.
We will not be able to allow the participation of passengers who are intoxicated or under conditions that may affect the development of the tour.
The guide or company representative may make decisions at the beginning or during the tour for safety reasons.

IMPORTANT NOTES ABOUT SHARED SERVICES

In shared services, pickup will be made from the client’s hotel as long as it is located in the city center.

If the hotel is located far from the center or in an area with difficult access, a specific meeting point will be coordinated.

At the end of shared tours, we will normally drop clients off at a point near the Main Square or in a central area.

Pickup and return times are referential and may vary due to traffic, delays from other passengers, weather conditions, roadblocks, or external situations.

Our assistant or guide will arrive on time at the meeting point; however, the transportation may be delayed by a few minutes due to reasons beyond our organization.

ADDITIONAL EXPENSES

Machu Picchu Andean will not assume additional expenses caused by itinerary changes, delays, services not included in the travel contract, or situations beyond our operation.

If additional expenses are generated by changes requested by the client, delays, loss of documents, immigration problems, undeclared medical conditions, or services not included, these must be fully paid by the passenger.

SPECIAL PASSENGER INFORMATION

Clients are required to inform us in advance if they have special needs, such as food restrictions, diets, allergies, medications, illnesses, physical conditions, weight, height, or other relevant details for the safe operation of the tour.

If the client does not inform us in a timely manner about these conditions, Machu Picchu Andean will not be responsible for inconveniences, restrictions, changes, or the inability to carry out certain tours or activities.

PAYMENTS AND RESERVATIONS All our services require advance payment for the tours, packages, or contracted services.
